Membership Terms & Conditions
Parties
These Terms form a contract between the relevant operating company for your location (as listed below), trading as House of Fitness (“HOF”), and you (“Member”).
Operating Companies: Old Street: House of Fit Limited (12139538) · Mill Hill: Mill Hill Training Facility Limited (14084225) · Primrose Hill: HOF Regents Park LTD (16093911). All registered at: Catalyst House, 720 Centennial Ave, Elstree, Borehamwood, England, WD6 3SY.
Key Definitions
Billing Cycle: a 28 day period starting on your sign up date (or renewal date).
Membership: an allowance of coached small group/1:1 sessions per Billing Cycle, as specified in your chosen membership tier, booked via the HOF app.
Sites: HOF locations published in the app.
1) Membership Tiers & Access
1.1. Personal & non transferable. One person per membership.
1.2. All sites access (subject to capacity and membership tier).
1.3. Age: 18+. Ages 16–17 require written parental consent; under 16s may only attend supervised junior sessions (where offered).
2) Health
2.1. You confirm you are fit to exercise or have medical clearance. If in doubt, seek medical advice first.
2.2. Any assessments we run are for programming/progress only and not diagnostic.
3) Your SGPT Membership Tier
3.1. Sessions are allocated each Billing Cycle according to your chosen tier and are not transferable.
3.2. Rollover: Unused sessions do not roll over (capacity planning). Optional top ups may be purchased at the prevailing drop in rate.
3.3. Booking: Book via the app. Cancellation window: 12 hours before session start; cancellations inside 12h or no shows forfeit the session.
3.4. Late arrivals: >10 minutes late may be refused for safety and will be treated as attended.
4) Fees, Billing & Collections
4.1. Charges: Memberships auto renew every 28 days until cancelled. Joining fees or promotions (if any) are shown at checkout.
4.2. Payment method: You authorise recurring card/direct debit charges each Billing Cycle.
4.3. Late payment: If a charge fails, we’ll retry and notify you; access may be suspended until paid. You remain liable for arrears (we do not accelerate the whole term). Reasonable admin/collection costs may be added where lawful.
4.4. Debt recovery: If payment remains overdue for more than 30 days, we may pursue the total outstanding amount and/or transfer the case to a debt collection agency.
5) Cooling off (distance & off premises sales)
If you join online/phone/off premises, you have 14 days to cancel for any reason and get a refund. If you ask us to start services within 14 days, you agree we may deduct a pro rata amount for sessions attended; once the tier allowance is fully used the refund is £0. (On premises sign ups don’t include this statutory right.)
6) Changes & Price Reviews
6.1. Operational changes: Session times, coaches and timetables may change; we’ll keep the app current and give reasonable notice of material changes.
6.2. Price changes: We may review prices no more than once per 12 months. Increases will either (a) be a fixed amount/date shown clearly in advance, or (b) be indexed to CPIH as published by the ONS, with at least 28 days’ notice and a right to cancel before the change takes effect.
7) Freezes & Exceptions
7.1. Discretionary pause: 1 freeze per calendar year, for up to 4 weeks, with 14 days’ notice required.
7.2. Medical: freeze available with a clinician’s note; sessions and billing pause until you’re cleared.
7.3. Relocation/long term illness: early cancellation considered on evidence (e.g., moving >10 miles from any HOF site; medical). We act reasonably and proportionately.
8) Cancellation (standard)
8.1. How to cancel: You may cancel at any time by providing notice via: (a) Our cancellation form at forms.houseoffitness.co/membership (preferred), or (b) Email to info@houseoffitness.co. Your notice is effective from the start of your next Billing Cycle.
8.2. Final billing & access: Your membership remains active and billable for one full Billing Cycle (28 days) following the date we receive your notice. For example, if you give notice mid cycle, you will complete your current cycle plus one further full cycle before your membership ends.
8.3. Methods that are not valid notice: Verbal notice to a coach or any staff member in club, phone calls, text/WhatsApp/DMs, or social media messages are not acceptable methods of cancellation and will not be treated as notice. Only the channels in clause 8.1 are valid.
8.4. Prepaid fees (quarterly, annual, or otherwise) are non refundable.
9) Conduct, Safety & Property
9.1. Code of conduct: Follow staff instructions, clean kit after use, appropriate footwear, no disruptive behaviour.
9.2. Lockers: Day use only; we may open and clear lockers left occupied after closing.
9.3. Personal property: We are not responsible for loss/theft of belongings; bring valuables at your own risk.
10) Liability
10.1. You use our facilities at your own risk and should only use equipment you understand.
10.2. We do not exclude or limit liability for death or personal injury caused by our negligence, nor for fraud. Our liability for other foreseeable loss due to our breach is limited to the fees paid in the 12 months before the claim.
11) Suspension/Termination
We may suspend or terminate for material breach (e.g., unsafe or abusive behaviour, repeated no shows) after reasonable warning, or immediately where safety is at risk.
12) Data Protection & CCTV
We process your personal data to run your membership and deliver sessions, per our Privacy Policy at houseoffitness.co/privacy-policy (GDPR Art. 6(1)(b)/(f)). Sites may use CCTV for safety; signage is displayed.
13) Opening Hours
Current hours are shown in the app and may vary by site (including bank holidays). We’ll give notice of material changes where practicable.
14) Changes to these Terms
If we make a material change, we’ll give 28 days’ notice. If you object, you may cancel before the change takes effect.
15) Governing Law
These Terms are governed by the laws of England & Wales and subject to the jurisdiction of its courts.
